The Information Services department is currently seeking an Executive Administrative Assistant to work directly with the SVP of Information Services and help support the day to day operations of the greater department which includes over 400 employees. This position requires considerable judgment, independence, initiative, decision-making, effective public relations, and organizational abilities and must project a confident, positive and professional attitude and image while maintaining a high level of confidentiality and integrity.
Additional responsibilities include:
Acts as the primary administrator for the department. Possess leadership and promotes a sense of teamwork for the administrative staff to effectively collaborate on departmental processes and events.
Anticipates and prepares materials needed by the senior executive for conferences, correspondence, trips, appointments, meetings, telephone calls, etc. Summarizes the content of incoming materials, specially gathered information, or meetings to assist executive; coordinates the new information with background office sources; draws attention to important parts or conflict. Anticipates ways in which executive time may be saved.
Handles confidential information, and performs administrative functions based on understanding of company policy, executive''s views and philosophy, which can be assumed by this level of administrative assistant.
Handles correspondence, monthly and quarterly reports, and other various reports needed by the senior executive.
Schedules appointments for senior executive; arranges travel schedule and reservations.
Takes the lead on the planning/organizing of annual functions for the department including kick-off and mid-year meetings.
Handles a wide variety of tasks involving the administrative function of the department which includes staffing processes, financial and invoice reconciliation, and other department wide initiatives.
Education: High School diploma or equivalent; some college preferred

Experience: 8
years of administrative/executive secretarial experience supporting senior management; internal company knowledge preferred
Communicates effectively and collaboratively with individuals, and internal and external organizations; applies effective written and oral communication techniques to convey clear and timely messages; ability to edit and proofread documents
Strong positive interpersonal skills including the ability to work collaboratively ande build effective working relationships. Ability to provide leadership to other administrative staff
Strong organizational skills including prioritizing, multi-tasking, and keeping track of information or work in progress while ensuring accuracy; strong administrative skills.
Significant ability to handle highly confidential and sensitive information and material.
Proficiency in Microsoft office to include Word, Excel, and Outlook, and PowerPoint

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
